Terms and Conditions

The practical details behind each of our journeys.

These Terms & Conditions (“Terms”) govern your booking and participation in any trek, tour, experience, or journey (“Trip”) operated by Pangolin Journeys (“we,” “us,” “our”). By submitting a booking, paying a deposit, or participating in a Trip, you (“Guest,” “you”) agree to be bound by these Terms.

Please read them carefully. If you do not agree, please do not book or join a Pangolin Journeys Trip.

By using this Site or engaging our services, you agree to the practices described in this policy. If you do not agree, please do not use the Site or share personal information with us.

1. Booking and confirmation

A booking is confirmed only once we have received your completed booking form and the required deposit (see Section 2). Until both are received, we cannot guarantee your place on a Trip.

You must be at least [18] years old to make a booking. Guests under [18] may join a Trip only when accompanied by a parent or legal guardian who accepts these Terms on their behalf.

You are responsible for ensuring that all information provided at booking — including passport details, medical conditions, dietary requirements, and emergency contacts — is accurate and current. We are not liable for issues arising from inaccurate or incomplete information you provide.

2. Payment terms

A deposit of 30% of the total Trip cost is required to confirm your booking. The remaining balance is due no later than 60 days before your Trip departure date.

For bookings made within 60 days of departure, full payment is required at the time of booking.

If the balance is not received by the due date, we reserve the right to treat the booking as canceled by you, subject to the cancellation terms in Section 3.

All prices are listed in US dollars and are subject to change until a booking is confirmed with a deposit. Confirmed bookings are not affected by subsequent price changes.

3. Cancellation and refunds

Cancellation by you

If you need to cancel a confirmed booking, the following refund schedule applies, calculated from the date we receive written notice of cancellation:

  • More than 60 days before departure: deposit is non-refundable; remaining payments (if made) refunded in full
  • 30–60 days before departure: 50% of the total Trip cost refunded
  • Less than 30 days before departure: no refund

We strongly recommend comprehensive travel insurance that covers trip cancellation, as outlined in Section 7.

Cancellation by us

If we cancel a Trip for any reason within our control, you will receive a full refund or the option to transfer your payment to a future departure.

If we cancel or are unable to complete a Trip due to circumstances outside our reasonable control — including but not limited to extreme weather, natural disasters, political instability, government restrictions, or pandemic-related closures (see Section 8, Force Majeure) — we will work with you to reschedule where possible. Refunds in these circumstances will be made to the extent that costs have not already been committed to third parties (such as permits, lodges, or transport that cannot be recovered).

Date transfers

If you wish to transfer your booking to a different departure date, please contact us as early as possible. Transfers made more than 45 days before the original departure are generally accommodated at no charge, subject to availability. Transfers requested closer to departure may be treated as a cancellation and rebooking under the terms above.

4. Trip changes and itinerary flexibility

Pangolin Journeys is built around the principle that itineraries serve the experience, not the other way around. As a result, the published itinerary for any Trip is a guide, not a guarantee.

We reserve the right to alter routes, accommodation, activities, or the order of the itinerary due to weather, trail conditions, local circumstances, group wellbeing, or guide judgment. Where possible, we will inform you of significant changes in advance. Minor changes made for safety, group enjoyment, or logistical reasons do not entitle you to a refund or compensation.

5. Health, fitness, and risk acknowledgment

Trekking and travel in mountainous, high-altitude, and remote regions carries inherent risks, including but not limited to altitude sickness, injury, illness, extreme weather, and limited access to medical facilities.

By booking a Trip, you confirm that:

  • You have disclosed any medical conditions, allergies, or physical limitations that may affect your ability to safely participate
  • You have consulted a medical professional regarding your fitness to travel at altitude and undertake the physical demands of your chosen Trip, where appropriate
  • You understand and accept the physical risks associated with the Trip you have booked
  • You will follow the safety instructions and guidance of your Pangolin Journeys guide at all times

We reserve the right to remove a Guest from a Trip, without refund, if our guide reasonably believes continued participation poses a safety risk to that Guest or to others in the group

6. What's included and not included

Included in your Trip price:
Accommodation as specified, meals as specified, guide and support staff, permits and entry fees, ground transport as specified, and domestic flights if required.

Not included:
International flights, travel insurance, visa fees, personal expenses, tips and gratuities for guides and staff, alcoholic beverages, optional activities not listed in the itinerary, costs arising from delays, illness, or circumstances outside our control.

A detailed inclusions list is provided on each individual Trip page and in your booking confirmation.

7. Travel insurance

Comprehensive travel insurance is required for all Pangolin Journeys Trips. Your policy must cover, at a minimum:

  • Activity and altitude coverage up to the highest elevation point of the trip.
  • Emergency medical treatment and evacuation, including helicopter evacuation where applicable, up to the maximum altitude of your Trip
  • Trip cancellation and interruption
  • Loss of personal belongings

We may request proof of valid insurance before departure. We are not responsible for costs arising from inadequate or absent insurance coverage.

8. Force majeure

We are not liable for any failure to perform our obligations under these Terms where that failure results from circumstances beyond our reasonable control, including but not limited to: natural disasters, extreme weather, epidemic or pandemic, war, civil unrest, government action, strikes, or closure of borders, airspace, or trekking regions.

In such circumstances, Section 3 (“Cancellation by us”) governs how refunds and rescheduling are handled.

9. Limitation of liability

To the fullest extent permitted by law, Pangolin Journeys’ liability for any claim arising from your Trip is limited to the amount paid for that Trip. We are not liable for indirect, incidental, or consequential damages, including but not limited to lost wages, missed connections, or loss of enjoyment.

Nothing in these Terms excludes or limits liability for death or personal injury caused by our negligence, where such exclusion is not permitted by applicable law.

10. Conduct and group dynamics

Pangolin Journeys operates small groups, typically no more than eight guests, built on mutual respect and shared experience. We expect all Guests to treat fellow travelers, guides, support staff, and local communities with courtesy and respect.

We reserve the right to remove any Guest from a Trip without refund if their conduct is deemed by our guide to be harmful, disruptive, or unsafe to the group or to local communities.

11. Photography and media

During your Trip, our guides or team members may take photographs or video for use in Pangolin Journeys’ marketing materials, website, and social media. By participating in a Trip, you consent to this use unless you notify us in writing before departure that you do not wish to be included.

12. Intellectual property

All content on the Pangolin Journeys website — including text, photographs, itineraries, and branding — is the property of Pangolin Journeys and may not be reproduced or used without our written permission.

13. Governing law

These Terms are governed by the laws of Nepal. We encourage any disputes to be resolved through direct discussion wherever possible. Where that isn’t possible, disputes will be subject to the exclusive jurisdiction of the courts of Nepal.

14. Changes to these Terms

We may update these Terms from time to time to reflect changes in our operations or legal requirements. The Terms in effect at the time of your booking will apply to that booking. We encourage you to review this page periodically.
